Before anything: the notification is the authority

The exact document set is notified by the admitting authority for the year, and it can change. We are not publishing a definitive list as though it were fixed, because a page that does that will eventually be wrong in a way that costs somebody a seat.

Two documents cause more failures than the rest combined. The nativity certificate, because it depends on a government office's timeline rather than yours. The community certificate, because families routinely hold one in a parent's name and assume it applies.

Both take weeks. Both are the reason to start in spring rather than in the counselling week.

How to arrange the folder

Sounds trivial. It is the difference between five minutes at the desk and forty.

  1. One folder, one candidate. Not a family folder with three people's papers in it.

  2. Originals in the order the notification lists them. Verification officers work down a list; a folder in their order moves fast.

  3. Two photocopy sets minimum, each in the same order, each complete. One is retained; the second is your safety margin.

  4. Photographs in a small envelope at the front, not loose.

  5. A single-page index on top listing what the folder contains. It costs nothing and it visibly speeds things up.

  6. Nothing removed for any reason. Papers taken out at a desk and pocketed are papers lost.

The name problem, explained once

This is the most common rejection and the most avoidable.

Your name must read the same on the mark sheet, the community certificate, the nativity certificate, Aadhaar and the bank account. "S. Priya", "Priya S" and "Priya Selvam" are three names to a verification system, however obvious they look to you.

Check every document side by side now. If one differs, correcting it takes weeks — which you have in April and do not have in the counselling week.

The same applies to date of birth. A mismatch between Aadhaar and the birth certificate is a manual-verification queue at exactly the wrong moment.

What actually happens at verification

You arrive within the notified reporting window with your allotment order. An officer checks each original against the application data, retains a photocopy set, and confirms the seat once satisfied. Fee payment follows as notified.

Three practical points.

Reporting windows are short and are not extended individually. A seat not confirmed within the window is released to the next candidate on the list.

Take a parent or guardian if you are being asked to sign anything. Fee undertakings and any bond documents are signed here, and this is not the moment to read a bond for the first time.

Do not hand over originals except where the process requires it, and ask for an acknowledgement when you do.

Different programme, different papers

B.Sc Nursing — the standard school-leaver set above. Eligibility is a +2 with Physics, Chemistry and Biology, minimum 45% (40% for SC/ST), age 17 to 35. See B.Sc Nursing admissions.

Registration certificates expire. Check yours is current before the counselling week, not during it.

Carry these too, even though nobody lists them

  • The fee amount, arranged and ready in the form the notification specifies. A confirmed seat that cannot be paid for is not confirmed.

  • Your application number, written somewhere that is not your phone.

  • A charged phone and a power bank. Waits are long.

  • Water and food. Also long.

Where each certificate comes from, and how long it takes

The reason to start early is that you control almost none of these timelines.

From your school — the +2 mark sheet, the +2 certificate and the transfer certificate. Usually quick, but schools close for vacation, and a certificate nobody collected in April is a problem in July. Collect them the week they are issued.

From a government office — the community, nativity and income certificates. These take the longest and cannot be hurried. They are issued against an application with its own supporting documents, and a rejection sends you back to the start. Apply months ahead, and apply for the community certificate in the student's name even if the family already holds one.

From the previous board or university — the migration certificate, if you studied outside the state board. This is requested from an institution that has no reason to prioritise you, and it is the document most often forgotten entirely.

From a medical practitioner — the physical fitness certificate, where the notification requires one. Check which category of practitioner is acceptable before paying for it.

From the portal — the application acknowledgement and the allotment order. Print both; do not rely on a phone.

A useful rule: anything issued by somebody else takes four times longer than you expect, and anything you print yourself takes four minutes. Do the first category first.

What to do if a document will not arrive in time

It happens, and panicking is the wrong response.

Tell the college and the verification desk, do not conceal it. Processes usually have a provision for a document that is applied for and pending, and none at all for one that was hidden.

Carry the application receipt for the pending certificate. It proves you started the process rather than ignored it.

Ask what the deadline for producing it is, and get the answer from the desk rather than from another candidate in the queue.

Do not accept an offer to "arrange" a certificate. A fabricated document ends a nursing career before it starts, and it is checked again at council registration.

A four-month countdown

Four months out. Apply for nativity and community certificates in the applicant's own name. Collect the transfer certificate and the +2 certificate from school.

Two months out. Lay every document side by side and check names and dates match. Correct anything that does not.

One month out. Take photocopies — two complete sets. Assemble the folder in order. Take passport photographs.

Counselling week. Read the notification's document list once more, add anything missing, and go early.

Nothing here is difficult. All of it is impossible to do in a hurry.
